Wwft checks before anyone signs

Every client is checked before the service starts. The client does it online, the checks run on their own, and the contract goes out only once you approve.

How a check runs

  1. 01

    Start the check

From the client's record. The client gets a link by email and a task in the portal.

  2. 02

    The client fills it in

Identity with bank ID or a passport and selfie, then questions about themselves, the purpose and where the money comes from.

  3. 03

    The checks run

PEP and sanctions screening, identity, countries and, for a company, the KVK. Each person and company comes back green, amber or red, with reasons.

  4. 04

    You decide

An agent approves green; an owner or admin approves or refuses amber and red. On approval the linked contract goes out for signing.

What the check covers

Buyerbase suggests, your agency decides.

  • PEP and sanctions

Politically exposed persons with family and close associates, and the EU and Dutch sanctions lists.

  • Identity

Bank ID, or a passport or ID card with a selfie. A BSN is never stored.

  • Companies

Confirmed at the KVK, the declared owners screened as persons, the UBO extract uploaded.

  • Monthly re-screening

Every open dossier is screened again each month; a new hit goes to an owner or admin.

  • Re-checks when things change

A new name or address, or a new deal more than 12 months after the last check.

  • A locked dossier

Every round kept and every read logged, destroyed 5 years after the relationship ends.

  • Checked elsewhere

Record a check another institution did, with their client data, for approval.

  • Filled in by the agency

When a client cannot do it online, record their answers and the ID you saw in person.

  • Your Wwft page

Policy, training, dossiers and unusual transactions, together in Settings.

Who is checked, and where the check holds them

The check covers every tag. Until it is approved, the client cannot move past their tag's step.

  • Buyers

No move past Uploading documents until the check is approved and the contract signed.

  • Sellers

No move into Meeting until the check is approved.

  • Tenants

No move into Documents until the check is approved.

  • Landlords

No move into Meeting until the check is approved.

  • Companies

The company and its contact person must both be approved. A company is always reviewed by an owner or admin.

  • Partners and co-tenants

A linked person is checked on the main person's dossier, through their own link and without a login.

Pricing

A Wwft check is billed per client checked

At what the identity and screening services cost, rounded up, with no margin, and a year of monthly re-screening included. While you try Buyerbase out, the check runs on a sample result and nothing is billed.

Questions about the Wwft checkAnything else? Ask us.

Does the client have to come to the office?
No. They do it online in the portal, with bank ID or a passport and selfie. When a client cannot, an agent fills it in, with the identity document seen in person and a reason.
Does Buyerbase decide who is accepted?
No. It suggests green, amber or red with the reasons. Green is approved by an agent; amber and red by an owner or admin, who can also refuse with a reason that stays in the dossier.
How long is a dossier kept?
Exactly 5 years after the relationship ends, then it is destroyed. Owners get a notice 30 days before, so they can export what they need.
Where is the data stored?
In Buyerbase's database in Ireland, in the European Union. The answers are used only for the check, never for marketing.
Does Buyerbase report unusual transactions?
No. Any member can flag an unusual transaction from the client's card and it lands on your agency's Wwft page. Reporting it to the FIU stays with your agency.
What happens while I try Buyerbase out?
The whole flow runs on a sample result. No outside service is called and nothing is billed.
